AI operations for accounting & bookkeeping firms

Your firm's AI operations person — without the full-time hire.

We build AI systems that handle your document intake, client replies, and reporting — then we stay on to keep them accurate. You get the hours back. Nobody on your team becomes the AI babysitter.

Async-first · Replies within one business day · Nothing to migrate, ever

How it works

De-risked in three steps

No discovery workshops, no six-month roadmaps. You see a working system before you spend a dollar, and you see numbers from your own data before you commit to anything monthly.

1

A demo built around your firm

We send you a short recording of a working system shaped around your client base — sample data we generate, never your files. It's yours to keep whether or not we ever talk.

2

Two-week pilot on your real data

One workflow, running on your actual documents, with an exception-review process for your team. You get a before/after time report — the numbers decide, not the pitch. Credited in full toward setup if you continue within 30 days.

3

Monthly operations retainer

We run, monitor, and improve your systems: exception handling and a monthly accuracy report. Essential covers up to 15 client entities; Expanded covers up to 35 and adds one new workflow or major improvement each month. One-time setup is $1,500. Flat monthly price, cancel anytime.

The difference

Most AI consultancies build and leave. We operate.

The hard part of AI isn't the build — it's the months after: catching the edge cases, keeping accuracy high as your clients change, and knowing when the system shouldn't be trusted with a decision.

That's the job we stay for. Every system we ship flags what it's unsure about instead of guessing, reports to you weekly, and has a human approval step anywhere a mistake could touch a client.

And we'll tell you plainly which of your workflows aren't worth automating. There are always some.

The operating standard, in writing

No silent guesses. Anything ambiguous goes to a review queue with the reason attached.
Human approval on every step that touches a client — nothing sends itself.
Weekly report to your inbox: what ran, what was flagged, what changed.
Nothing to migrate, ever. Your books stay in your QuickBooks, your documents in your storage. If we ever part ways, you're replacing an operator — not rebuilding your firm's history.

See it running

Working systems, not slideware

Short recordings of real systems processing realistic firm data — including the part most demos hide: what happens when the AI isn't sure.

These are demonstration builds on realistic sample data, labeled as such — we'd rather show you precisely what's real than impress you vaguely. Happy to run any of them on a sample of your actual documents.

Who we are

Operators, not an agency

CapacityPilot builds and operates AI systems that run real business workflows — document processing, client communication, reporting — and stays accountable for their output month after month. We're deliberately small by design: systems we run ourselves, human review on everything that matters, and a response within one business day wherever you are. CapacityPilot is new. The twenty years of production systems behind it — for federal agencies, banks, and state governments — are not.

Scope worth stating: we automate your firm's operations. We don't do accounting, give tax advice, or touch anything your license covers — the review queue routes to your team, always.

Common questions

Will this touch our client data safely?

Demos use synthetic data only. Pilots run on real data under a signed agreement, with access limited to the one workflow in scope, and everything stays in accounts you own.

We've tried AI tools and they made things up.

That's why every system here has an exception queue and approval steps. The design assumption is that AI will sometimes be wrong — the system's job is to know when.

Where are you based?

We work async-first with clients across time zones. Systems run around the clock; you get responses within one business day and scheduled calls at hours that work for you.

What if we cancel?

The automation stops — we operate it, so if we're gone it isn't running. What doesn't happen is a migration: your books are complete and current in the system you already use, and your documents are where they've always been. You'd be replacing an operator, not rebuilding your firm. Access you granted, you revoke yourself.

Get your capacity back before tax season.

Twenty minutes. Bring your messiest recurring workflow — we'll tell you honestly whether it's automatable, and show you what that would look like.
